How it works
It’s a pretty straightforward process. We suggest you start with booking a consultation. You’ll receive a call from a member of our team to discuss the kind of support you’re looking for. We’ll then send you our recommendations and suggest the VA we feel is appropriate for your needs. Then if you’re happy to go forward, we’ll tell you how to set up an account online and you can then start working with your VA soon afterwards.
Our VA’s go through an assessment process to ensure they are qualified and experienced. Our Virtual Assistants are selected for their communication skills, are highly trained in administrative tasks and are professionally managed and supported.
We usually find that our clients tend to stay with one Virtual Assistant at a time. However you can have any number of Virtual Assistants assigned to you. It really depends on your requirement and the particular skills of the VA.
Pricing
Your payment is taken on the same date each month. We also take one-off payments for an existing customer. The monthly price is a recurring subscription charge for using VA-UK, which varies depending on the plan you choose. The price associated with whichever plan you choose is included in the bill issued at the beginning of your assigned billing cycle. If you sign up for a monthly billing cycle, then you automatically receive an hourly discount rate. The hourly price is a non-recurring charge and payment is due in advance. Please contact us for further information about Bespoke Solutions.
No. Your monthly fee is the only charge. There are no additional hidden fees or setup fees to pay.
If you go over your limit you can purchase additional hours or upgrade your plan at anytime. Just ask your Virtual Assistant for assistance.
Yes of course. Simply contact our Client Support team prior to your next billing cycle and we'll take care of your request. If you have already been billed, your cancellation request will not take effect until the following month. We do not offer prorated refunds or cancellations for unused time.
Please get in touch with us if you are unable to pay by Direct Debit. Depending on your geographic location, we may be able to accept payment by bank transfer or international wire transfer and on occasions debit/credit card (Note: cards will attract a 3% surcharge).
THE FOLLOWING IS SUBJECT TO BREXIT CHANGES. Please provide us with your EU VAT number. We will verify this via the VIES VAT number validation system (European Commission). We can then use the reverse charge scheme to remove the VAT from your invoices. We suggest that you let us know if you have an EU VAT number before you create an account.
What does a VA do?
VA-UK and our Virtual Assistants are UK-based. We observe all bank holidays in England and Wales. Our VA’s usually work during standard UK business hours, (9am-5pm). If you are in need of a VA outside of these hours please let us know.
All of our Virtual Assistants are based in the UK. They are native English speakers (speak English fluently) so there are no language issues and no time zone problems.
You will have a qualified, UK based assistant that is available to you Monday through Friday, 9am to 5pm.
A Virtual Assistant can do a lot. They can relieve huge workloads of monotonous tasks like social media, email marketing, answering phone calls and more. This doesn’t mean that you suddenly have less work to do, it just means you can spend more time on focusing on things like innovative strategies and pushing the business forward and let them handle the day-to-day tasks.
Your VA is available 9am-5pm on weekdays. However, it's always better to schedule a time to call your VA. They will be more than happy to talk with you.
You can contact your Virtual Assistant through the VA-UK email address that we provide, by phone, by text, Skype or through our secure management portal.
Your VA can maintain budgets, keep track of expenses and keep information stored and organised. Unfortunately due to the legalities associated with bookkeeping and accounting, your VA can’t act as a consultant to advise on critical company decisions, so they are unable to provide a full accountancy service. They are however happy to research bookkeepers or accountants on your behalf
We’ll get in touch and provide you with our Service Agreement and online Payment Mandate. As soon as you’ve completed these, one of our team will assign a Virtual Assistant we feel is right for your needs. We’ll then create your account in our secure management portal where you’ll be able to log in. Your VA will then contact you to begin working. We’ll be on hand at all times should you need help or to answer any questions you may have.
Having a VA changes everything

For those of you reading this thinking, what the heck is a Virtual Assistant or VA, it’s basically a PA (Personal Assistant) but they are based remotely. So they support you but they are not sitting in the same room or building as you.
Remember that the purpose of a VA is not just to free up your time, it's also to bring you peace of mind. It won’t help if you are constantly worrying that the work may not get done on time and to the standard you need. So have a good chat with your future VA, be patient, ask questions, make sure they have what it is you're looking for and you'll wonder how you ever managed without them.
Having a Virtual Assistant changes everything about how you run your life. Not having to figure out where to go, when to go, what to do, I was able to get on with my life and spend my time either making more money or doing the things I wanted to spend my time on. I was spending at least 20 hours a week on admin for my business, I wasn't exercising enough, often skipped lunch and my partner and I had no time to cook proper meals in the evening. As a woman in her 40’s, this was not a good road to be on.
